DESCRIPTION
The Office Assistant supports the delivery of instruction and student success by providing office assistance for the Health Sciences, Education and Wellness Institute (HSEWI), Instructional Division by performing front desk reception duties, maintaining office organization, and records management.

This is a Classified, overtime eligible position and represented by the Washington Public Employee Association of Higher Education (WPEA-HE). The Health Sciences, Education & Wellness Institute (HSEWI) fosters successful completion of our diverse students' education goals, as well as advocates life-long wellness, learning, teaching, and service excellence. We provide a wide variety of accessible, rigorous, and engaging professional/technical courses, programs, and credentials that are responsive to individual, institutional, and community needs, prospects, and opportunities. Our Institute is comprised of sixteen unique programs which focus on providing excellent education and training for many professions in healthcare, education, and wellness.

POSITION DUTIES
Front desk reception

• Route incoming calls.
• Greet and screen visitors both in person and over the phone.
• Interact with a diverse population which may include faculty, students and/or parents.
• Provide visitors with contact information and directions for booking appointments.
• Troubleshoot various student issues that come up at front desk and help seek to find solutions.
• Provide front desk coverage during office hours
• Organize and distribute outgoing items for pick-up by visitors at front desk.
• Open, sort, and distribute incoming correspondence.
• Manage and maintain schedules and calendars.

Assist with direct office services

• Resolve problems and respond to inquiries regarding rules, regulations, policies, Division procedures and services.
• Order and store Personal Protective Equipment (PPE) and other safety equipment such as cleaning kits and hand sanitizers for classrooms and office areas.
• Place lab and laundry supply orders for all HSEWI programs; Monitor faculty/staff equipment checkouts and maintain division inventory list of college-issued devices.
• Assign and review work flow, schedule, and delegation of work-study students.
• Supervise lower level staff as assigned.
• Assist with providing access around the building and office.
• Submit tickets related to issues in the building.
• Assist with building related operations and walk throughs.
• Represent division in Safety meetings and report back to division leadership.

Data/Reporting

• Enter and retrieve data; generate reports, correspondence and documents.
• Maintain complex reporting using various software programs and database programs.
• Maintain Divisional SharePoint sites; create and update computer system files.
• Assist HSEWI Office Coordinator with collecting and processing employee paperwork and forms.
• Prepare invoices, reports, memos, letters, financial statements and other documents.
• Update division bulletin boards and website with program information from various programs.
• Assist with admissions and onboarding for selective admission students.
• Collection, coordination and distribution of quarterly on campus lab schedule for courses.
• Utilize 25Live to review Lab schedules and notify programs of lab schedule conflicts
• Perform quarterly inventory of classrooms and labs in HSEWI assigned spaces (T & G bldgs.)

Other

• Follow campus procedures to organize events/meetings.
• Assist in planning and coordination of Divisional events.
• Support printing and distribution of meeting and events materials.
• Compile, transcribe, and distribute meeting minutes as needed.
• Perform other duties as assigned.

QUALIFICATIONS/CORE COMPETENCIES

• Associate's degree in business related program. Any combination of relevant education and/or experience in business administration or closely allied field may be substituted for the educational requirement on a year-for-year basis.
• Two (2) years of experience in a capacity that involves customer service, event planning, or administrative assistance.
• Proficient skills with Microsoft Office suite including, Outlook, Word, Excel and PowerPoint.
• Experience with calendar management.
• Strong organizational, planning and time management skills.
• Must be able to work an occasional alternate schedule, such as evenings or weekends
• Experience working in a collaborative team environment with diverse employees and student/customer groups.

PREFERRED QUALIFICATIONS:

• Experience working in Higher Education.
• Knowledge of Bellevue College.
• Knowledge of Health Sciences, Education & Wellness Institute.
• Experience using LEAN principles in process improvement, or business operations.
