Overview

As part of the project management office (PMO) team, under intermittent supervision, provides administrative and project management support to IT projects and initiatives. Contributes to their success by creating management reports, establishing and ensuring adherence to governance framework, facilitating team collaboration and communication, increasing efficiency in utilization of resources, maintaining alignment with business objectives, addressing urgent issues while seeking solutions using own discretion, providing continuous visibility of all projects/initiatives, enabling higher productivity and optimization of project execution and delivery. Works collaboratively with IT members, service line associates, leadership, vendors and other external entities; acts as their primary point of contact for designated projects/initiatives.

Responsibilities

1. Maintains and monitors IT project plans, tracks project schedules, project budgets and expenditures. Creates a project management calendar to fulfill each goal and align projects with business objectives; and to ensure that all projects stay within the planned time and budget. Serves as the primary point of contact to service lines, team members, and external vendors; attempts to understand their roles, responsibilities, and decision-making capabilities in each project/initiative to evaluate potential courses of action; interacting with each stakeholder as required.
2. Centralizes information and delivers it to the right stakeholders, as per their specific role. Reports on overall progress and health of projects, status of milestones and deliverables, financial information about budget & expenditures, project risks and progress on mitigating these risks, project performance, effectiveness of management and utilization of resources, among other factors. Generates adhoc reports as requested.
3. Monitors project adherence to established framework. Uses independent judgement and discretion to perform ongoing assessments of risk and issues across projects, and suggests solutions or mitigation options where applicable. Addresses urgent issues or shortfalls timely and effectively.
4. Ensures seamless team collaboration and communication among all members associated to the project. Additionally, he/she helps in aligning distributed and remote teams and bringing everyone on the same page.
5. Creates, gathers, and keeps updated project documentation during the entire life of the project; ensures for all projects that documentation is maintained appropriately and accessible for all involved.
6. Provides administrative support in a variety of functions as assigned, including but not limited to: attending meetings, receiving and exchanging communication on IT projects, such as advisory board, department, and leadership meetings.
7. Responsible for IT internal communications going out to ESSC associates, regarding: alerts, action required requests, maintenance awareness messages, change awareness communications, Tech tips, among others.
8. Performs other duties as assigned.
 

Qualifications

EDUCATION:
  • Typically requires a Bachelor’s degree in Information Technology/Systems or related field; or the equivalent combination of education, experience, and training to perform the job successfully.
EXPERIENCE:
  • 3+ year of related experience. Working experience with healthcare organizations is preferred.
  • Experience leading projects, meetings and teams; strong understanding of various project management methodologies and tools. PM experience managing IT and technology projects preferred.
KNOWLEDGE, SKILLS, ABILITIES:
  • Proficiency with MS Office applications (e.g. Word, Excel, PowerPoint, Project, Visio, Outlook). EHR software experience is desirable.
  • Experience with IT control frameworks ranging from System Development Life Cycle, requirements gathering and management, change management, test management, SOX etc.
  • Ability to manage multiple fast-paced technical projects of medium to large size and medium to high complexity.
  • Demonstrates good judgment in selecting methods and techniques for obtaining solutions.
  • Ability to understand business requirements/concepts and facilitate discussions in project context.
  • Ability to motivate others outside of direct authority to ensure project milestones and deliverables are met.
  • Ability to adapt to a dynamic environment and learn department-specific technology and computer systems.
  • Ability to prepare clear, complete and concise reports, and technical documentation.
  • Demonstrated ability to work collaboratively, take initiative, prioritize; excellent time management, decision-making, analytical, problem-solving, and organizational skills. Strong team management skills.
  • Ability to execute tasks in a high-pressure environment, remain focused and flexible, and provide high-quality results.
  • Ability to identify and seek needed information/research skills.
  • Ability to acquire an understanding of organization and department policies, procedures, and practices.
  • Ability to maintain current knowledge of local, state, and federal laws and regulations regarding the management of EHR client information. Or the ability to acquire this knowledge.
  • Ability to communicate effectively, through oral and written skills, with all levels of staff and the general public. Ability to communicate technical concepts to technical and non-technical audiences.
  • Ability to maintain customer service orientation and professionalism in all interactions.
  • Ability to exercise discretion and maintain confidentiality with sensitive information and/or situations.
  • Ability to obtain and maintain a criminal record/fingerprint clearance from the Department of Justice and Federal Bureau of Investigation, per Easterseals Southern California and/or program requirements.
  • Ability to travel locally; maintain driving record in compliance with Transportation Safety Standards; maintain auto insurance and vehicle registration.
  • Ability to work after hours and weekends as needed; and remain on-call and respond in a timely manner.
  • Must pass all drug testing required by ESSC and a post-offer physical evaluation
