Program Description and Position Summary
Public Health Solutions is seeking a bilingual (English/Spanish) Program Assistant to support operations of the Healthy Families Bushwick program. The Program Assistant is responsible for providing programmatic, administrative, and front-end office support for program leadership and staff for the HFB program. The Healthy Families New York home visiting program matches parents with knowledgeable and caring workers who provide information and support during pregnancy and early childhood. Services include helping families access community resources and services, educating families on parenting and child development, connecting families with medical providers, and assessing children for developmental delays.
Please note that normally, the Program Assistant works from PHS' Ridgewood office. However, during COVID-19, the majority of work is completed remotely from home, with occasional days in the office as needed. All in-person work is performed following social distancing protocols.
Minimum Requirements:
  • Demonstrated strong interpersonal skills and respectful interactions with community members looking for services. Must interact well with staff and clients alike and have an outgoing personality
  • Demonstrated experience performing clerical and administrative duties with speed and accuracy without immediate and constant supervision
  • Ability to multi-task and prioritize needs of multiple projects
  • Must be a quick learner, highly organized, and detail-oriented
  • Ability to maintain and improve upon tracking systems to promote smooth office operations
  • Ability to communicate effectively both orally and in writing with an attention to detail and professionalism in all communications
  • Collaborative spirit, seeking out how to be most helpful to the team and around the office
  • High School or GED
  • Must be bilingual English/Spanish
Job Duties:
  • In addition to below, performs all other duties as assigned.
  • Provide general administrative assistance and support for day-to-day administrative operations including office coordination, upkeep, and other office functions.
  • Provide administrative assistance to the HFB Program Director, Supervisors, and staff
  • Respond to community member inquiries about program services and support HFB efforts to conduct outreach to identify new program participants
  • Conduct data entry and carry out routine office activities such as answering and routing phone calls, copying, filing, data entry, recordkeeping, timely handling of incoming and outgoing e-mail, and mail, and other tasks as needed. 
  • Maintain inventories and monitor and order office supplies. Coordinate purchasing and payment activities with PHS Central Office.
  • Coordinate receipt of referrals for HFB across various data systems and support HFB quality improvement efforts.
