AVP, Undergraduate Medical Education

The Associate Vice President (AVP) for Undergraduate Medical Education (UME) serves as a senior leader and the manager responsible for operational and strategic aspects of the MD Program. This role is responsible for leading administrative and operational functions within the Wake Forest University School of Medicine (WFUSM) Office of UME across two campuses—in Winston-Salem, NC and Charlotte, NC. The AVP, who jointly reports to the Senior Associate Dean for UME and WFUSM’s Vice President for Administration and Operations, will be the senior administrative leader within the program and work in partnership with other leaders to set the vision for MD Program, establish strategies to achieve that vision, and oversee operations while serving as a liaison to the Dean's Office to ensure alignment with the medical school mission, policies, and procedures.

Through demonstrated collaboration, business acumen, and strategic thinking, the AVP will manage programs and processes that enhance and support the success and national reputation of WFUSM. This position will manage a team that is responsible for coordinating the entirety of the MD program learner experience from recruitment through graduation including, but not limited to, student, staff, and faculty development and mentoring; well-being and resilience; diversity and inclusion efforts; policy development and review; communications; and all other MD program matters. With direction from the Senior Associate Dean for UME and WFUSM’s Vice President for Administration and Operations, this role will oversee management of the budget, data, and analytics related to strategic planning, accreditation, curriculum oversight and evaluation, and student and staff recruitment and retention, and will interface with leaders across the enterprise to provide information and services that integrate efforts across all parts of the Dean’s Office, working with counterparts in other enterprise educational programs, research, faculty affairs, and shared services teams.

The AVP aids the Senior Associate Dean for UME and WFUSM’s Vice President for Administration and Operations with the broad spectrum of executive responsibilities in support of the medical school's mission. This position has direct reports.

REPORTS TO:  Senior Associate Dean for UME & WFUSM’s Vice President for Administration and Operations

ESSENTIAL FUNCTIONS:
Executive Lead - 40%

  • Serves the key roles of "activator" and "integrator" within UME: operationalizes initiatives, clarifies assignments, anticipates barriers and opportunities, coordinates across teams, ensures alignment with medical school priorities and policies, and proactively seeks better ways to accomplish processes.
  • Oversees all aspects of education strategic operations, including accreditation, human resources, budget and financial management, facilities and space management, and information technology.
  • Manages directives and projects and serves as a member of committees and cross-functional groups, coordinates agendas for various forums and participates as a member of the UME leadership team.
  • Administrates learner and faculty medical education development that includes working with other health science programs
  • Ensures the goals and initiatives of UME align with the academic enterprise strategic plan.
  • Creates and maintains resources such as online tools, training guides, and communication channels to support the efficient and effective function of the MD program.
  • Maintains systems for documentation, information (e.g., deadlines, events, etc.), and a faculty directory for all involved in and receiving allocation of effort for roles in the MD program curriculum, coaching, and advising programs.
  • Assists in development, implementation, and maintenance of grants for academic medical school initiatives, including but not limited to scholarship on topics related to education, student affairs, admissions, and pipeline programs.
  • Works with data management and reporting systems, ensuring data confidentiality, quality control, and integrity, and delivering accurate and comprehensive data internally and to external organizations.
  • Works closely with Human Resources on faculty and staff recruitment, retention, compensation, data systems, and related matters.
  • Under the overarching direction of the Senior Associate Dean for UME and WFUSM’s Vice President for Administration & Operations, drives the development and management of the annual operating budget for UME.
  • Serves on relevant academic committees.
  • Seeks and accesses ongoing professional development related to the changing landscape of medical education and future healthcare workforce needs.

Strategic Storytelling and Reputation Management - 20%

  • Supports effective communications related to education with relevant internal and external stakeholders.
  • Creates/contributes to reports, documents, presentations, and other publications to advance the educational initiatives of the medical school.
  • Maintains education awards process, distribution, and communications.
  • Works with the medical school advancement team (communications, foundation, alumni relations, and government relations) to communicate key initiatives to community stakeholders.

Financial Planning and Budget Oversight - 20%

  • Develops, implements, and maintains sound financial policies, procedures, and practices for UME.
  • Conducts financial planning and management for education to ensure successful financial performance and ethical stewardship of WFUSM resources.

Operations/Program Management - 20%

  • Direct and implement special projects and strategic initiatives of Undergraduate Medical Education intended to execute on the long-term strategic vision, as well as meeting short-term objectives
  • Ensure timely planning, implementation and tracking of project reporting and updates to key stakeholder groups and bridging communication strategies to ensure alignment across the WFUSM.
  • Other duties as assigned.

  • Demonstrated ability to work and communicate with diverse faculty and higher education professionals across a range of ranks and leadership positions in the organization, and to facilitate the same between diverse groups within the school of medicine and health system.

Essential qualifications

  • Advanced degree required (PhD, MBA, JD, MHA, MPH, MS, etc.)
  • Minimum of 10 years progressive experience leading to management/direction of higher education programs with strong preference toward significant experience leading within Undergraduate Medical Education at a top-tier School of Medicine.
  • Broad leadership and management experience, preferably in highly complex academic settings, with connections to large academic medical centers.
  • Demonstrated ability to provide critical conceptual and strategic thinking to important financial, academic, and administrative issues across a complex organization.
  • A record of accomplishment working effectively with faculty and institutional administration.
  • Prefer experience working with regional campuses and initiating programs across a wide geography.
  • Outstanding achievement in development and management of a diverse staff.
  • Experience modeling inclusive excellence that supports with demonstrated commitment to diversity and equity
  • Strong managerial and team building skills, and demonstrated ability to motivate and empower direct and indirect reports to achieve area priorities
