Temporary Assistant Manager, Grants Administration

Full-Time Temporary Position (12–24 Weeks)

Location: East Windsor, NJ (Princeton Area) or Remote

Hours: Monday–Friday, 8:30 AM – 4:30 PM

Position Overview

We are seeking a highly organized and detail-oriented Assistant Manager, Grants Administration to join our educational grants team on a full-time temporary basis (12 to 24 weeks) to cover a maternity leave. This role involves a blend of administrative, analytical, and communications responsibilities and is ideal for candidates with strong Excel proficiency, portal navigation experience, and a commitment to maintaining meticulous records.

 

Comprehensive training will be provided. This role may be fulfilled remotely or on a hybrid schedule (2 days in-office/3 days work-from-home), depending on the candidate's location.

Key Responsibilities

  • Prepare grant proposals and budget submissions through vendor grantor portals.
  • Generate financial reconciliation reports post-event.
  • Monitor and track grantor portals for key reporting deadlines and requirements.
  • Maintain accurate and current logs of portal login credentials and reconciliation timelines
  • Collaborate with the accounting department to ensure budgets are accurately tracked and reconciliations are completed.
  • Research and circulate grant-related Requests for Proposals (RFPs) on a weekly basis.
  • Maintain internal documentation related to grantor-specific details and requirements.
  • Conduct industry-specific and tactic-specific research as needed.
  • Provide general administrative support to the grants team and assist with ad hoc tasks as directed by management.

Qualifications

  • Bachelor’s degree from an accredited four-year college or university.
  • At least 1–2 years of experience in an administrative or office-based role preferred.
  • Exceptional organizational and time management skills; ability to meet deadlines.
  • Detail-oriented with strong written and verbal communication skills.
  • High level of proficiency with Microsoft Excel; familiarity with PowerPoint preferred
  • Experience navigating web-based platforms or grantor portals is highly desirable.
  • Comfortable working across multiple internet-based systems and tools.
  • Valid driver’s license (for candidates considering a hybrid/in-office option).
