Position Summary:
We are seeking a reliable and highly organized Office Assistant to join our team. The Office
Assistant will play a crucial role in ensuring the smooth operation of our office by performing various administrative and clerical tasks. The ideal candidate will be detail-oriented, possess strong communication skills, and have the ability to manage multiple tasks efficiently.
Key Responsibilities:
1. General Office Duties:
○ Maintain organized filing systems for documents, records, and other paperwork.
○ Perform data entry tasks to update and maintain databases and spreadsheets.
○ Prepare and distribute correspondence, memos, and reports.
2. Communication:
○ Answer and direct incoming phone calls in a professional and courteous manner.
○ Respond to emails promptly and professionally, ensuring timely and accurate
communication.
○ Greet and assist visitors, providing a friendly and welcoming environment.
3. Client Relations:
○ Follow up with clients to ensure satisfaction and address any inquiries or issues.
○ Schedule appointments and manage calendars for meetings and client visits.
○ Assist in coordinating client events and meetings, including preparing materials
and setting up conference rooms.
4. Administrative Support:
○ Assist in the preparation of meeting agendas, minutes, and presentation
materials.
○ Order and maintain office supplies and inventory.
○ Support other team members with various administrative tasks as needed.
Qualifications:
● High school diploma or equivalent; additional qualifications in office administration or
related field is a plus.
● Proven experience as an office assistant or in another relevant administrative role a
bonus.
● Proficient in MS Office (Word, Excel, Outlook) and other relevant software.
● Excellent written and verbal communication skills.
● Strong organizational and time-management skills.
● Ability to multitask and prioritize tasks effectively.
● High attention to detail and problem-solving skills.
● Friendly and professional demeanor.
Working Conditions:
● Office environment with standard office equipment.
● Occasional lifting of up to 20 pounds may be required.
● Regular business hours, with occasional need for flexibility depending on workload
