Role Overview
The Clinical Assistant (CA) is a key member of the clinical care team, supporting physicians and patients throughout the fertility journey in an outpatient setting. The CA interacts directly with patients in person, over the phone, and through virtual communications, ensuring a seamless, compassionate, and organized experience for every patient.
Key Responsibilities
Accurately and thoroughly document medical visits and procedures performed by physicians and healthcare providers, including: patient medical history, physical exams, procedures, and treatments; patient education, discussion of risks and benefits, and follow-up instructions; physician-dictated diagnoses, prescriptions, and care plans.
Prepare referral letters and correspondence as directed by physicians, ensuring timely delivery to referring providers.
Manage executive communications — including calls, emails, dictations, and administrative coordination — with accuracy and professionalism.
Maintain confidentiality and compliance with all legal, ethical, and documentation standards.
Research and verify contact information for referring physicians and coordinate referral communications.
Cas will be trained in the OR / Phlebotomy / Ultrasounds / MD Concierge Teams / Reception / Research / Data Entry to assist as needed
Record and organize clinical data, laboratory and test results, and physician interpretations within the EMR.
Support quality improvement initiatives by collecting and organizing data for reporting systems.
Develop and maintain tracking systems for patient follow-up and compliance.
Perform additional administrative and clinical support duties as assigned.
Qualifications
Bachelor’s Degree with a minimum GPA of 3.5 required.
Background in Women’s Health or Fertility preferred, but not required.
EMR experience preferred.
Strong problem-solving, multitasking, and decision-making abilities.
Excellent written and verbal communication skills, with a professional and empathetic demeanor.
Organized, detail-oriented, and capable of working independently under pressure.
Commitment to ongoing professional development through education, workshops, and training.
Superior customer service and interpersonal skills.
Schedule & Availability
Full-time schedule: hours vary based on practice needs.
Start Times will vary depending on the area of the office CA is working in at that time
(6:30 am/7:30 am/8:30 am/9:30 am starts) Must be able to start at any of those times for their shift.
Shifts may be structured as:
• 4 days x 10 hours, or
• 5 days x 8 hours.
Saturday availability is required on a rotational basis (every other Saturday counts toward the 5-day workweek).
Must be available for variable shifts, including weekends, holidays, and occasional evenings.
After the training period, CAs participate in a rotational on-call schedule:
• Weekday on-call: 6:00 PM – 10:00 AM (from home).
• Sunday on-call: 9:00 AM – 10:00 PM (from home).
On-call shifts count as a scheduled workday.
Holiday coverage required: Each CA will work or be on call for 2–3 holidays per year, depending on scheduling needs.
