The Capitol Region Mental Health Center (CRMHC), under the umbrella of the State of Connecticut, Department of Mental Health and Addiction Services (DMHAS) is seeking an organized and mission-driven individual to join our team as an Office Assistant (PCN 26898). This position will provide front desk, administrative, and medical records support within our facility.

 

POSITION HIGHLIGHTS:

  • Work Schedule: Monday - Friday
  • Work Hours: Full-time, 40 hours per week
  • Work Shift: First shift, 8:00 a.m. - 4:30 p.m.
  • Location: 500 Vine Street, Hartford, CT

 

Due to the population we serve, our ideal candidate will be Bilingual in English and Spanish.

 

WHAT WE CAN OFFER YOU:

 

WHAT YOU'LL BE DOING:

  • Staff the front desks for two agency buildings, welcoming and registering visitors and clients as they arrive for appointments or meetings.
  • Answer incoming phone calls, respond to general inquiries, transfer calls appropriately, and provide Spanish-language phone support when multilingual staff are unavailable.
  • Direct foot traffic, manage waiting rooms, and help maintain a safe, orderly, and welcoming environment for clients and visitors.
  • Provide clerical support for two clinical teams, including maintaining inventory, ordering supplies, distributing office mail, and completing special clerical projects as assigned.
  • Process, file, and maintain treatment notes and related documentation in the medical records department, ensuring accuracy and confidentiality.
  • Copy, collate, and distribute intake packets and other client materials.
  • Verify client entitlements electronically, determine entitlement status, and notify staff when clients have arrived and are waiting.
  • Respond to public inquiries regarding how to enter treatment and provide general information and referrals as needed.
  • Complete administrative tasks such as travel, license, and mileage reimbursement reports.
  • Support clinic operations for a large behavioral health outpatient program serving approximately 1,900 clients annually across two sites.
  • Uphold agency confidentiality standards and maintain sensitive client information in compliance with all applicable regulations.

Please note:

 

MINIMUM QUALIFICATIONS - GENERAL EXPERIENCE

Two (2) years of general clerical work experience.

 

MINIMUM QUALIFICATIONS - SUBSTITUTIONS ALLOWED

College training may be substituted for the General Experience on the basis of fifteen (15) semester hours equalling one/half (1/2) year of experience to a maximum of two (2) years.

 

PREFERRED QUALIFICATIONS

  1. Bilingual Spanish-speaking ability.
  2. Experience working as a receptionist for an agency providing mental health services, as well as working in a clerical capacity, filing and maintaining client records.
  3. Experience working in a fast-paced environment in behavioral health in which multi-tasking and prioritizing responsibilities is required.
  4. Experience maintaining professional behavior when dealing with clients who may present as behaviorally discontrolled, and experience responding during medical and or psychiatric emergencies in order to facilitate the appropriate intervention from internal staff or emergency personnel.
  5. Experience with Microsoft Office 365 suite and the Office 365 cloud collaboration tools such as Microsoft SharePoint, Microsoft OneDrive and Microsoft Teams.
