Administrative Assistant/ Social Media Specialist

Position Summary 

Provides comprehensive administrative support to the Clinical Director and Program Area Directors of South Mississippi Mental Health Center, ensuring the efficient day-to-day operation of the organization. This role manages a broad range of administrative functions including procurement, records coordination, correspondence, and office operations while upholding all HIPAA and organizational compliance standards. Additionally, this position serves as the Social Media Content Manager for the Center, developing and managing digital content that promotes awareness, education, and community engagement across all official social media platforms.

Essential Duties and Responsibilities

  • Input Fix-Its (requires county domain access). 
  • Create requisitions, receive, and create supplier invoices for supply orders in Workday, including office supplies. 
  • Handle incoming Explanations of Benefits (EOBs) via postal mail. 
  • Maintain Mail Room mailboxes to ensure proper organization and distribution. 
  • Back-up front desk coverage as needed. 
  • File and organize physical medical records in accordance with established procedures. 
  • Scan, upload, index, and verify accuracy of medical documents into the electronic health   records (EHR) system. Follow retention schedules and secure disposal processes for outdated records. 
  • Retrieve, sort, and distribute records as requested by authorized personnel. 
  • Maintain confidentiality and comply with HIPAA and all privacy regulations at all times. 
  • Maintain office equipment used for scanning and filing; report any issues promptly. 
  • Process referrals and pre-authorizations as directed. 
  • Process Explanations of Benefits (EOBs). 
  • Develop and execute a social media content calendar aligned with the Center’s mission, programs, and community outreach goals. 
  • Create, curate, monitor comments and messages, reply professionally and timely, and publish engaging content (text, graphics, photos, and short-form video) for Facebook, Instagram, LinkedIn, and other approved platforms. 
  • Collaborate with clinical, administrative, and outreach staff to highlight programs, events, staff spotlights, and mental health awareness campaigns. 
  • Research and apply best practices for mental health communication, reducing stigma, and promoting access to care through digital media. 
  • Track and report key social media metrics (reach, engagement, follower growth) and provide monthly performance summaries to leadership. 
  • Coordinate with the Senior Executive Assistant and leadership team for approval of sensitive or campaign-level content prior to publication. 
  • Maintain consistency in brand voice, logo usage, color schemes, and messaging across all platforms. • Stay current on social media trends, platform algorithm changes, and mental health advocacy communications to continuously improve content strategy. 
  • Support crisis communications protocols; escalate any concerning public comments or reputational risks to leadership immediately. 
  • Assist in designing promotional materials for events, workshops, and community outreach initiatives.  

Education and Qualification Requirements 

Required 

  • High school diploma or equivalent required.
  • Minimum of 1-2 years’ experience in medical records, health information management, or related field.
  • Basic knowledge of graphic design platforms required.

Preferred 

  • Associate’s degree in health information management, communication, marketing or related field.  Experience in mental health or behavioral health setting.
  • Demonstrated experience managing social media accounts for an organization, nonprofit, or healthcare entity.
  • Familiarity with electronic health records (EHR) systems.

Required Skills, Knowledge and Abilities

  • Strong attention to detail and accuracy in all tasks. 
  • Good organizational and time management skills with ability to manage multiple priorities. 
  • Experience with social media platforms (Facebook, Instagram, LinkedIn) and scheduling tools (e.g., Hootsuite, Buffer, or similar) preferred. 
  • Basic graphic design skills; familiarity with Canva, Adobe Express, or similar tools preferred. 
  • Basic computer proficiency, including scanning, file management, and Microsoft Office Suite. 
  • Ability to write clear, professional, and empathetic content appropriate for a behavioral health audience. 
  • Knowledge of HIPAA regulations and ability to apply privacy standards to digital content creation. 
  • Ability to follow established procedures, meet deadlines, and work independently. 
  • Professional communication and teamwork skills. 
  • Sensitivity to mental health topics and commitment to reducing stigma in all communications.
