Position Summary

The Clinic Manager oversees the daily operations of Compassionate ABA and Therapeutic Services at our Manassas location, which serves children and individuals with developmental and behavioral needs. This role ensures high-quality clinical service delivery, efficient operational management, regulatory compliance, and a supportive environment for staff, clients, and families. The Clinic Manager works closely with clinical leadership to maintain excellence in care and optimize clinic performance.

Location: Manassas, VA

Pay: $65,000 - $75,000 annually

Schedule: 9:00 am - 6:00 pm

Key Responsibilities

Operational Leadership

  • Oversee day-to-day clinic operations, including scheduling, client flow, and facility management
  • Ensure smooth coordination between therapists, BCBAs, administrative staff, and families
  • Implement and improve operational workflows and clinic procedures
  • Ensure therapy materials, rooms, and resources are prepared and available

Staff Management & Support

  • Supervise administrative staff and support the onboarding of new team members
  • Assist with new-hire coordination, training logistics, and staff performance tracking
  • Foster a positive, collaborative, and professional clinic culture
  • Address employee concerns and escalate clinical issues to leadership when appropriate

Client & Family Experience

  • Serve as a primary point of contact for families regarding scheduling, billing coordination, and clinic policies
  • Ensure a welcoming, responsive, and family-centered clinic environment
  • Monitor client attendance, cancellations, and service continuity
  • Support resolution of client concerns with empathy and professionalism

Compliance & Quality Assurance

  • Ensure clinic operations comply with HIPAA, state regulations, and payer requirements
  • Maintain accurate documentation workflows and administrative records
  • Support audit readiness and quality improvement initiatives
  • Uphold safety protocols and incident reporting procedures

Financial & Administrative Oversight

  • Assist with authorization tracking, insurance coordination, and service utilization monitoring
  • Support billing processes in coordination with the revenue cycle or billing departments
  • Monitor operational expenses related to clinic supplies and staffing efficiency

Qualifications

Required

  • Bachelor’s degree in healthcare administration, business administration, psychology, or related field (or equivalent experience)
  • 2–4+ years of experience in healthcare, behavioral health, or clinic operations
  • Strong organizational, leadership, and communication skills
  • Experience managing staff schedules and operational workflows

Preferred

  • Familiarity with insurance authorization and billing processes
  • Knowledge of HIPAA compliance and healthcare regulations
  • Prior supervisory or management experience in a clinical environment
  • Registered Behavior Technician experience
