Operations Coordinator
Operations Coordinator
Starlight Sports — Westport, CT (hybrid) | Full-time
About us
Starlight Sports is an event video production and software company. We partner with high school sports recruiting events to deliver elevated, broadcast-style film to players and teams pursuing college recruitment, and that film flows directly into our recruiting platform where athletes, club directors, and college coaches use it. We're backed by a $500K seed round from Creator Sports Capital and the Premier Lacrosse League, and we're scaling toward 50–75 events per year.
The role
Every event we film depends on a pile of information arriving correctly and on time: who's playing, in what division, on which field, at what price, filmed by whom. This role owns that. You are the connective tissue between event partners, our platform, and our field crews.
You'll report to the Head of Production & Operations, and work directly with the CEO.
Event data
- Own event setup end to end in our admin: teams, divisions, schedules, pricebook, and athlete rosters
- Chase down and organize information from event partners — rosters, division structures, schedules, field maps, venue details
- Run our roster collection workflows: distribute rostering links to club directors, manage CSV imports, follow up on what's missing
- Audit event data before game day. A wrong division or a missing roster means unsellable film.
Event partnerships
- Serve as the day-to-day contact for event operators once a partnership is signed
- Onboard new event companies onto our portal and train them on it
- Keep partners moving through deadlines ahead of each event
Contractor coordination
- Help source and hire local videographers and event staff in our markets
- Build and maintain event staffing schedules across multiple concurrent weekend events
- Process contractor payments and keep documentation current
- Handle onboarding paperwork and keep contractor records organized
Platform onboarding
This is where event operations turns into platform growth. Film only reaches recruits if the athletes are actually on our platform, and getting them there runs through club directors.
- Drive club and team adoption for every event — the goal is that each participating team has an account, a claimed roster, and athlete profiles before game day
- Walk club directors through setup: creating their organization, adding their club, building teams by graduation year, and inviting athletes
- Distribute and manage Team Rostering links per event, and Athlete Rostering links for individual showcases; follow up on invitations that stall
- Support directors who already have accounts in selecting their existing teams into the right event divisions
- Handle the CSV import path when a director would rather hand over a spreadsheet than build rosters manually — validate the file, resolve mismatches, and confirm invitations landed
- Troubleshoot account issues for directors, coaches, athletes, and parents; be the human who unsticks people
- Track adoption rates by event and club, and report what's converting and what isn't back to the CEO and engineering
- Feed friction back into the product — you'll see every place the onboarding flow breaks before anyone else does
You're a fit if you have
- 1–3 years in operations, coordination, event management, or a similar detail-heavy role
- Genuine comfort with spreadsheets and admin tools — you'll live in them
- The instinct to follow up three times without being asked
- Clear, professional written communication with external partners
- Tolerance for peak-season intensity: weekends in summer and fall are our busiest time
- Bonus: youth or club sports background, or experience with rostering, registration, or tournament software
Details
- Salary: $55,000
- Schedule: Hybrid, based out of our Westport office. Some weekend availability during peak season.
- Early-stage team — you'll have direct access to the CEO and real influence on how we build our processes.
