Program Assistant

The primary responsibility of the Program Assistant is the general operations of the program’s administrative office. The ideal candidate will have a high level of organizational and analytical skills, be able to prioritize projects, have strong writing and editing skills, excellent communication skills, and be a positive team player.

Responsibilities

  • Answer department phones. 
  • Process all mail, correspondence, and information to and from the program’s office, including  correspondence to and from the Program Director.  
  • Maintain department purchase order requests, department files and organize reference reports and files.
  • Prepare correspondence and special project documents (letters, memos, protocols, conferences, etc.).  
  • Coordinate projects as directed by the Program Director.  
  • Maintain and update agency documents and manuals.  
  • Office management, including but not limited to ordering supplies, scheduling and event coordination, program errands, office upkeep .
  • Generate reports and synthesize data pertaining to program performance, demographics, and measurable outcomes.
  • Assist in general functions of the program.  

Qualifications

  • BA/BS or equivalent degree.
  • Bilingual Spanish/English a plus!
  • Excellent organizational, writing, computer and communication skills.
  • Previous experience in comparable position is preferred.
  • Ability to structure and perform routine tasks.
  • Ability to work as a team member.
  • Valid California driver's license with a clean driving record and be insurable under Seneca’s automobile policy.
  • Clearance of TB test, physical exam, fingerprints and any other mandatory State/Federal requirements.
  • Must be 21 years of age or older
  • Proof of COVID-19 vaccination and booster required.

Schedule

  • Monday - Friday, 8:30am - 5:00pm.
