About Ronald McDonald House Charities
Ronald McDonald House Charities creates, finds and supports programs that directly improve the health and well-being of children and their families. RMHC strives to be part of the solution to issues challenging families today. We use our resources and partnerships in the community to help families gain access to healthcare services and keep families close during critical points in their children's lives.
 
RMHC serves children and families through three core programs, and also through specialized local programs. Our core programs include:
Ronald McDonald House, which provides a home away from home for families while their child is accessing care at a nearby hospital.
Ronald McDonald Family Room programs, which are in-hospital programs that allow parents to recharge, grab a meal or get some sleep down the hall from their child’s treatment.
Ronald McDonald Care Mobile programs, which are mobile programs that bring medical care, dental care and health education right into communities where access to care may be limited.
 

Position Purpose

We are seeking a talented administrative assistant to provide executive-level administrative support to the RMHC Global Senior Leadership Team, which includes the: Chief Marketing & Development Officer, Chief Finance Officer and Chief Operating Officer.
 
This individual will also provide general admin support for the broader RMHC Global team, including voicemail box and info email inbox coverage, mail and check pickup, and other duties as assigned. This individual will report to RMHC Global Operations Supervisor. 
  • Provide executive-level administrative support to RMHC Global Chief Operating Officer, Chief Financial Officer, and Chief Marketing and Development Officer (80%)
  • Provide departmental administrative support for the RMHC Global Team (20%)
  • Extensive calendar management and complex meeting coordination including virtual meetings
  • Travel planning including securing travel visas, hotels, flights, ground travel and itineraries
  •  Processing expense reports
  •  Keeping officer on schedule; providing necessary reminders, documents, etc.
  •  Management of RMHC Info email inbox (including holiday coverage)
  •  Management of RMHC general voicemail (Including holiday coverage)
  • Collection and distribution of departmental mail and checks from MHQ (M, W, F)
  • DocuSign management 
  • Additional responsibilities as needed
  •  
  • Operational excellence:
  •  Anticipate and respond to schedule or travel challenges and conflicts, and  work proactively to address them
  • Take personal responsibility for meeting commitments and ensuring that results are achieved in a timely manner
  • Work collaboratively with others in ways that align with the RMHC core values and supports the success of the overall team

Qualifications
 
 
  • Must be fully vaccinated (i.e., at least 2 weeks after last dose) for COVID-19 and, if hired, present proof of vaccination by start date.
  • Ability to work on-site at McDonald’s Headquarters three days per week (Monday, Wednesday, Friday) as part of check pickup process
  • Ability to work on holidays as part of info email inbox/general voicemail process
  • Intermediate to advanced-level experience with MS Office (Outlook, Word, Excel, PowerPoint) and WebEx or similar meeting tools
  • One to three years supporting VP level to C-level executives including calendar management and travel coordination
  • Strong communication and critical thinking skills
  • Reliable, results-oriented, and able to anticipate needs
  • Demonstrates ability to handle and maintain confidential information
  • Must be able to prioritize and work well under pressure
  • Strong attention to detail and ability to complete large volumes of work efficiently and effectively
  • Ability to adapt to a constantly evolving business and work environment
