Program Specialist, Serving Our Survivors

Position Title: Program Specialist 
Organization: Jewish Family Service of San Diego 
Department: Serving our Survivors (SOS) 
Position Type: Half-Time (32 hours/week), Non-Exempt  
Work Setting: Onsite 
Reports To: Director Holocaust Survivor Program 
Pay Rate: $19 - $23.50/hour

Overview: 
The Program Specialist provides comprehensive support to the Serving Our Survivor teams that cover both San Diego and Orange County.  The SOS programs offer critical relief services and resources to Holocaust survivors and their families.  The Program Specialist provides key support and communication between program staff and the accounting team.  This position will provide support for multi-layered program operations, processing invoices from vendors that provide care and assistance to clients, with a high priority on detail, accuracy, and meeting deadlines. Experience and a strong desire to work in a fast-paced, team environment is an asset. The Program Specialist will receive direction from the Contracts Associate but will be supervised by the Director of Holocaust Survivor Programs. Responsibilities: 
  • Processing approved client financial assistance and check payments to vendors. 
  • Scanning and processing invoices into PaperSave (AP system). 
  • Tracking and electronic filing of all payments and invoices to maintain accurate financial records for reports and audit purposes. 
  • Reconciling all payments and gift cards with accounting financial reports. 
  • Assist in pulling data in preparation for grant reports to accurately report impact. 
  • Answering vendor or staff questions regarding invoices and backup.  
  • Assist with reconciliation of expenses, invoices and donations. 
  • Track unique clients and types of services received. 
  • Liaise between SOS staff & finance team to address invoice/payment issues. 
  • Manage and accurately record program data in JFS client data base. 
  • Create, update, and maintain client physical records and paperwork in compliance with HIPAA regulations, various grant and JFS policies. 
  • Participate in required training. 
  • Provide administrative support to Director and regional Program Managers. 
 
Skills/Abilities That Are a Must-Have: 
  • At least one year of prior experience in bookkeeping and administrative support.  
  • Strong attention to detail for spreadsheets and tracking purposes. 
  • Unquestionable ability to operate in Microsoft Office programs, especially: Word, Excel, and Outlook 
  • Ability to maintain accurate records and data with detailed documentation.  
  • Ability to maintain the highest levels of confidentiality of client personal information.  
  • Able to multitask and meet changing deadlines  
  • Strong organizational and prioritization skills.  
  • Ability to take ownership and initiative of projects. 
  • Excellent communication skills and a desire to work in a team environment. 
  • Willing to occasionally adjust work schedule based on operational need.  
  • Commitment to excellence and ability to provide high quality work. 
 
The Ideal Candidate Will Have or Be: 
  • Prior experience working in a nonprofit setting and understanding of grants. 
  • Someone who thrives on helping others and following through on every detail. 
  • Familiarity with client database systems. 
  • A desire to have fun and laugh while working hard. 
  • Willing to adjust work schedule and occasionally work evenings/weekends depending on program needs.
