Job Summary:
The Administrative Services Manager oversees and coordinates administrative and project support for the Chief Administrative Officer, and in supporting other administrative departments and leaders. Coordinates the ongoing completion of project management tasks. Coordinates agency wide safety committee and all monthly safety compliance duties. Provides daily administrative coordination to the agency Facilities department 
 
Duties and Responsibilities:
  • Guide and support project management efforts. Act as project captain to keep projects moving forward and on schedule. Project scope and size will range from small, limited executions to larger multi-year projects
  • Coordinate, and prepare for monthly safety committee as well as ongoing efforts and supports around safety tailgates and monthly compliances across sites.
  • Provide regular and consistent project coordination and management, vendor scheduling, and support to agency wide Facilities Department as a part of a team providing “best in class” services and response
  • Maintain and schedule annual compliance and maintenance reviews with outside municipalities and vendors to meet requirements. Responsible for taking meeting minutes, scheduling and coordinating meetings, preparing presentations, preparing spreadsheets and charts, filing, and organizing.
  • Provide back up support to main office front desk coverage and related responsibilities including organizational main phone line, and ensuring courier service and US mail delivery, and package delivery are covered.
  • Monitor Facilities ticket system, prioritizing and delegating cases to ensure timely ticket resolution and communication.
  • Provide direct support to staff/team for immediate safety or risk management issues that may arise.
  • Review staff incident reports and coordinate response with appropriate parties.
 
Education and Work Experience:
A typical background for the person who can fulfill the duties of this position is as follows:
  • High school diploma, GED, or technical training required. College degree or coursework preferred.
  • 3 years demonstrated experience successfully providing high-level administrative support, office management, or project management in an office setting
 
Other Requirements:
  • Position may require work outside of usual work hours on occasion as needed to meet project deadlines.
  • Able to pass a comprehensive criminal history background investigation
  • Must have a valid driver’s license and meet agency insurance requirements and be able to use personal vehicle as needed to complete job duties.
 
Starting Pay Rate:
Administrative Services Manager: $26.00-$27.69/hour
Bilingual Spanish Administrative Services Manager: $28.34-$31.30/hour
