POSITION PURPOSE:
   This position is necessary to assure the effective and efficient delivery of all services and is responsible for organizing, coordinating, and overseeing all daily operations and referral aspects of programs and services within the agency. 
   Employee must have a deep understanding about Mountain Laurel Integrated Healthcare and what we do, how we do it, and how we are paid for those services. This individual must have excellent customer service skills, good people skills and the ability to deal tactfully and courteously with referral sources, social service agencies, the healthcare community and other public and private entities. 
   Employee must have the ability to secure cooperation and establish and maintain effective working relationships with superiors, staff, and the general public. This individual must have the ability to perform duties with a minimum of supervision; ability to handle matters of a confidential nature, and provide support to the clinical and administrative staff of the agency. They must be able to tolerate a great deal of stress. 
 ESSENTIAL ADMINISTRATIVE JOB FUNCTIONS:
  1. Provide oversight and implementation of programs and processes that meet the corporate goals and objectives.
  2. Responsible for on-going community outreach (including attending community meetings, events, etc., as well as networking and being visible in the community) in order to promote LMAMH services.
  3. Responsible for the implementation and continuous monitoring of compliance with all state, federal, and third party regulations.
  4. Continually evaluate agency processes and collaborate regularly with other clinic leadership to improve processes that remove barriers to patient care for new and established consumers.
  5. Effectively communicates with staff in a consistent, timely, and collaborative manner.
  6. Responsible for clinic staffing schedules and call-ins on a daily basis.
  7. Develops and maintains a sound customer service approach to ensure excellent consumer satisfaction.
  8. Communicates staffing shortages to the Director, Human Resources and requests help from other clinics as needed.
  9. Communicates clinic staffing shortages affecting patient services and scheduling on a daily, weekly and longer term basis with Central Scheduling and Front Office. 
  10. Acts as the Point of Contact for all agency departments and external referral resources. 
  11. Ensures that all staff efficiently utilize the Electronic Health Record system.
  12. Completes work orders and forwards them to the Director, Maintenance and Manager, IT on behalf of all clinic staff for facility repairs and IT support.
  13. With input from the clinical and operations leadership, performs annual evaluations of clinic staffing, including support and nurse staffing.
  14. Responsible for completing purchase requisitions for clerical and medical supplies and staff equipment. 
  15. Manages and approves timesheets for payroll bi-weekly for all clinic staff (Provider, Nursing, and support staff).
  16. Coordinates scheduling of PTO for Clinic Staff.
  17. Coordinates staffing schedule for staff training / development.
  18. Responds to and resolves patient complaints, with assistance from clinical and operations leadership when indicated. 
  19. Serves as a rotating supervisory support for after-hours crisis needs.
  20. Participates in Quality Improvement Quality Assurance (QIQA), program evaluation, and service utilization reviews as appropriate.
 
ESSENTIAL BUSINESS DEVELOPMENT JOB FUNCTIONS:
  1. Develops new referral networks and builds and maintains relationships with new and existing referral sources.
  2. Participates in planning sessions, regular meetings, forums, as a public speaker, etc. with community projects and collaboratives that are aligned with the vision of the agency during traditional and non-traditional business hours.
  3. Analyzes and expands business operations toward sustained growth.
 
MINIMUM QUALIFICATIONS:
Bachelor’s Degree or higher. Interpersonal skills and communication proficiency needed. Project, stress and time management highly recommended.
