Human Resources Assistant Intern

The Organization:

Founded in 1846 to care for the children of sailors in the Port of New York, Seamen's Society for Children and Families ("Seamen’s Society”) was one of the first organizations in the US to care for abandoned children in family settings, rather than institutions. Today, Seamen's Society is a comprehensive $22 million nonprofit organization that offers foster care and adoption services, mental and behavioral health care services, prevention/family stabilization services, domestic violence intervention services, a health home care management program, education financial support, and a youth tutoring program. The agency's nearly 200 professionals serve over 1,250 children and over 500 families in New York City. Programs are conducted in a trauma-informed, caring manner that understands and embraces the diversity of the communities served by the organization.

 

Internship Summary:

Under the supervision of the Human Resources Supervisor, the intern will perform related HR duties at the professional level and carry out responsibilities in some or all the following functional areas: new hire processing, employee relations, employment, benefits, and recruitment.

 

Selected candidates can expect:

· Training in all functional areas indicated in the internship summary above and may perform any of these functions

· Gaining real-life experience working in an HR business environment

· Learning Human resource management systems

· Working in a supportive, friendly work culture

· Partnerships with other departments within the Company to gain a greater understanding of various roles in the Agency

Duties during Internship:

· Post vacancies in the appropriate sources (Indeed, FB, LinkedIn, etc.)

· Schedule interviews with appropriate department managers and HR for all non-exempt candidates.

· Review/maintain HR interview notes on candidates’ viability. Follow up on departmental interview notes, offer position and send rejections letters to candidates not chosen. Notify appropriate department staff of new hires acceptance and anticipated start date.

· Follow up and track all required new hire documentation. Review all documentation for accuracy and process all new hire forms including: (DCJS (fingerprints) SCR, DMV, Professional Licenses, SAM, SOR, OMIG etc.

· Prepare personnel files and enter new employee data in HR software (Paylocity/Novatime)

· Within scope of knowledge respond to inquiries from job applicants, employees, department heads and management staff.

· Complete HR termination check list terminate employee benefits (Life/LTD, Health, Pension etc.) and purge all appropriate files (SCR, I-9, fingerprints. Etc.)

· Process internal/external forms including but not limited to, Housing, Verification of Employment, References, Exit, and Not Accepted letters/forms.

· Handle all photocopying, faxing and filing for the HR Department in a timely manner.

· Open and distribute HR mail and update and distribute staff directory monthly.

 

Who we are looking for:

· Ideal candidates will have a demonstrated ability to successfully interact with individuals of different cultural backgrounds and beliefs, which include willingness to try and understand and be tolerant of differing opinions and views.

· Computer literature: Microsoft Outlook, Word, Excel, and PowerPoint skills. Data analysis & interpretation.

· Strong interest in human resources, talent management, learning and development, human resources information systems, human resources operations, and/or employee benefits

· Teamwork and collaboration skills

Qualifications/Requirements:

· Currently pursuing or recently completed a bachelor’s degree or equivalent from an accredited university.

· Excellent written / verbal communication, problem-solving, and analytical skills

· Computer proficiency including but not limited to word processing, Excel (spreadsheets and databases), Internet, email, etc.

· Strong judgment and problem-solving techniques and detail-oriented

· Experience providing excellent customer service and professionalism

· Must be a strong team player

· Ability to perform the essential functions of the job with or without reasonable accommodation

The internship is UNPAID for a minimum of three months, with a possibility for an extension of up to six months. The internship requests a minimum of 2-3 days per week in the office during the first 30 days of the internship for training purposes. After the first 30 days, will be a hybrid.
