Research Manager

GENERAL SUMMARY/ OVERVIEW STATEMENT:        

Summarize the nature and level of work performed.

 

Reporting directly to the Executive Director and with direction from the Vice Chair for Research, the Research Manager provides administrative management and support to a wide variety of investigators and administrators regarding all aspects of research within the Department of Anesthesia, Perioperative and Pain Medicine (DAPPM). Using independent judgement and working with minimal supervision, the Research Manager’s responsibilities include, but are not limited to:  budgeting and financial management, research grant and contract administration, assisting with managing and overseeing the development of internal systems, and supporting research administration strategies (i.e. policies and procedures, business processes and tools).  The Research Manager assists in managing the planning and implementation of DAPPM Research Division goals and objectives, and possesses a thorough knowledge of current BWH, NIH, and other research-related policies / procedures, guidelines and standards. This role requires discretion and judgment to organize priorities, complete tasks and handle confidential information.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Research Administration:

 

  • Working with the Vice Chair, Principal Investigators, and Grants Administrators, manages the finances, operations and human resources of the DAPPM Research Division, which includes approximately $15 million in annual funding from federal and non-federal (industry) sources, an average of 40 active grant accounts and ~22 principal investigators.
  • In consultation with Principal Investigators and BWH Research Administration, and with support of DAPPM Research Division grants administration staff, monitors and manages the ongoing process of grant development, submission, review and notification; discusses and resolves administrative problems that arise and manages administrative planning for potential new sources of income.
  • Represents the DAPPM Research Division on administrative issues with the Department, BWH Research Administration, Harvard Sponsored Programs, and other groups
  • With the Vice Chair of Research, supports annual development of a research financial budget, including specific faculty / PIs as well as the entire Research Division.
  • With DAPPM finance and administrative leaders, monitors financial performance and meets all department financial reporting requirements; coordinates and collaborates with clinical finance leader on areas finance pertaining to research-clinicians and issues at intersection of research, clinical and sundry funding
  • Responsible for maintaining solvency of all research funds Examines, analyzes and interprets financial reports, preparing statements and projections, and makes recommendations on managing resources.
  • Works closely with department leaders in developing and streamlining department’s business practices – developing management reports, assisting in process improvements, providing analysis of fund activity, and creating best practices in Anesthesia research administration

·       Participates in department, hospital or system-wide meetings, groups, and task forces as requested

  • Serves as a leader and advocate for the DAPPM Research Division

·       Based on Research Division needs, may provide / serve as a back-up for pre-award grants and contract administration support (including assisting PIs in the preparation of grant applications to external funding agencies, serving as a resource on grant application preparation and management, etc.)

·       Provides post-award grants and contract administration support, including:

o   Interact with Clinical Trials Office, Innovation Office, and industry sponsors to facilitate fully executed agreements

o   Harvard Professorships: prepare expenditure spreadsheets and manage budget with endowed PIs, prepare HMS invoices and submit via Harvard Procurement System for expense reimbursements, and ensure expenses are reimbursed within academic year

o   Submit ongoing PS changes for monthly staff and maintain backup files & documentation

 

Administrative Management:

 

  • Manages the design and management of DAPPM research space in coordination with BWH Research Administration; identifies and resolves facility problems that arise and conducts space needs planning for the division
  • Oversees the credentialing of all research staff members to the BWH Medical Staff to ensure compliance with Hospital By-Laws, and oversees the Medical School appointments and promotions process for research division members.

·       Maintain database to track proposal submissions, non-compete awards submission, new awards funding, Just in Time NIH reports, etc.

·       Acts as the research administrative liaison with other MGB and HMS affiliates

·       Prepare research metrics for management reporting of research activities including pre-award grant applications submitted, number of new awards, current awarded grant dollars, number of active grants, types of sponsors, and expenditures.
 

Human Resources Management:

 

·       Directly manages DAPPM grants administration staff (currently 2.0 FTE) and other research staff administrative (weekly-paid) staff in collaboration with PIs; serves as administrative resource for all DAPPM research administrative staff

·       Serves as resource for HR issues related to professional and administrative research employees; escalates to PI and Exec Director as needed

·       Manages all research employees in Peoplesoft

·       Serves as backup timekeeper and prepares management reporting to PIs

·       Other responsibilities as assigned

UALIFICATIONS:

  • Bachelor’s degree required; master’s degree in business, public health, healthcare administration or other related field preferred
  • Minimum of 5 – 7 years of applicable experience in healthcare, research or business environment; at least 2 years direct experience managing grants and research portfolio

·       Capacity to multi-task in a deadline driven environment with strong attention to detail and solid organizational skills

·       Management skills related to financial management, program implementation and process improvement

·       Able to make decisions quickly / independently and a willingness to learn

·       Strong coordination skills, especially around organizing people and activities

·       Able to handle sensitive and confidential matters

 SUPERVISORY RESPONSIBILITY:  

List the number of FTEs supervised.

 Initial responsibility includes:

 ·       Direct:  Grants administrators (2.0 FTE); may increase over time

·       Indirect: Multiple research administrators throughout DAPPM - Anesthesia

·       Professional staff supported: All DAPPM researchers, MDs, PhDs, and research fellows

 FISCAL RESPONSIBILITY:      

Indicate financial “scope” information, i.e.: size of budget, volume, revenue, etc.
