SUMMARY OF DUTIES AND RESPONSIBILITIES:

Under the direction of the Director and Deputy Director of Medical Records, the Medical Record Coordinating Manager is responsible for tasks and responsibilities detailed below. In addition, this position will support the Deputy Director of Medical Records on projects and duties, as assigned, with administrative work of varying degrees of difficulty and with varying degrees of latitude for independent initiative.

 

General tasks and responsibilities will include:

  1. Coordinate requests for medical records, including court subpoenas and requests from Federal, State and local regulatory and legal entities. Follow up on all requests and ensure timely response on all requests for medical records.
  2. Process requests for patient records received from clinical service teams, submit to external healthcare facilities, and follow up with external facilities.
  3. Maintain and ensure the medical records database is updated and accurate. Assist with the implementation of quality assurance processes to ensure the accuracy and integrity of the data.
  4. Run daily reports for various processes in multiple systems and software, and use and search various systems used by CHS and NYC Department of Correction.
  5. Perform redactions of medical records.
  6. Carry out clerical duties, as assigned, including but not limited to:
    1. Compile, assemble, and file all documents making up the patient’s medical record in the approved format.
    2.  Answer the telephone, and assist and respond appropriately to the caller.
    3. Respond to emails appropriately and timely.
  7. Assist in coordinating the administrative and office operations, including maintaining supplies.
  8. Participate on project team meetings to achieve team goals.
  9. Support the medical records team and performs other duties as assigned.

 

Preferred Qualifications:

  • Baccalaureate degree from an accredited college or university.
  • Strong knowledge of Excel and Word.
  • Good knowledge of medical terminology.
  • Strong interpersonal and communication skills.
  • Ability to work on multiple projects concurrently.

 

Minimum Qualifications: 

  1. A Master’s degree from an accredited college or university in Public Health, Public Administration, Business Administration, Social Work, Psychology or Rehabilitation Counseling; and
  2. Two (2) years of full-time experience in medically-oriented health care and medical support systems environment, one (1) year of which included experience in an administrative or supervisory capacity in such occupations as physical, occupational, inhalation, speech and audiology therapy or as Medical/Laboratory Technologist, Microbiologist (various specialties), Chemist (biochemist), Radiation and X-Ray Technician; or two (2) years of responsible level experience in business management systems or general administration including one (1) year in a supervisory or administrative capacity; or
  3. A Baccalaureate degree from an accredited college or university in disciplines listed in “1” above; and
  4. Three (3) years of full-time experience, as described in “2” above, including two (2) years of experience in an administrative or supervisory capacity in occupations, as listed in “2” above; or
  5. A satisfactory equivalent combination of education, training and/or experience.

    Note: Certification or licensure may be required.
