Location: Chicago - Hybrid working

The Role

This is an entry-level role and as IMS and your professional development continue to grow, your role has the opportunity to evolve.  We are looking for a highly organized and proactive administrator, keen to roll up their sleeves and get involved in any task.  

Duties:

For now, your key focus will be to support and collaborate with our teams internally to help ensure deadlines are met and clients are provided with excellent service. You will provide support to our Accounting, Payroll, and Tax teams as well as be responsible for administration and office duties. 

Some of the initial duties you can expect are;

  • Assist the accounting and tax teams as needed; liaise via Teams calls, chat and email
  • Prepare and send invoices to customers
  • Prepare payments and pay suppliers
  • Receive and deposit payments
  • General Ledger
  • Assist Managers with year-end closing
  • Prepare payroll
  • Assist managers with tax administration
  • Mail pick up and e-distribution from our Chicago office
  • Ad hoc office management and administrative duties and projects
  • Book travel expenses into our system
  • Arrange travel and events for our team
  • Stock and maintain the office and prepare it for meetings

Skills and experience required:

  • Fluent in English; Excellent verbal and written communication
  • Degree in Accounting
  • Relevant work experience
  • Technically proficient
  • Enthusiastic, proactive and willing to take on challenges
  • Excellent customer service; friendly and confident telephone manner
  • Exceptional time management and adherence to deadlines
  • Ability to multitask and adapt to a changing environment
  • French language is a bonus but not necessary
