Position Title: Office Coordinator, Palm Springs
Organization: Jewish Family Service of San Diego

Position Type: Full-Time (37.5+ hours/week), Non-Exempt
Work Setting: Onsite
Reports To: Assistant Director of Supportive Housing Programs
Pay Range: $25-$29/hour

Position Overview:
JFS is looking for a compassionate, mission-driven individual to join the Desert team as an Office Coordinator. In this role, you have the opportunity to use your organizational skills and office experience to make a meaningful difference in your community and help change lives across Riverside and San Bernardino County. The Office Manager plays an integral role on the team and supports the entire agency by assisting in data entry, greeting clients and visitors, audit preparation and maintenance of program documents. This position reports directly to the Assistant Director of Supportive Housing Programs and works closely with the administrative staff and the rest of the management team.
Responsibilities:
- Oversees the daily operations of the Palm Springs office as well as other (HUD/IEHP) branch locations
- This position is the assigned HMIS Administrator for the desert programs
- Responsible for timely submission of monthly and annual reports, attends county meetings as needed, provides oversight for data entry, and ensures contract compliance is maintained
- Ability to manage daily operations of a busy office
- Provides administrative support to the Director and Assistant Director of Supportive Housing
- Properly check guests/clients in and out in a welcoming manner
- Assist in supervision of agency volunteers
- Proficiently answer/reroute phone calls and emails as appropriate
- Maintain a clean and organized environment (Office Supplies, ordering)
- Receive and sort mail
- Greet and direct vendors/deliveries
- Assist other programs as needed and as time allows
- Interact effectively and courteously with all levels of management and staff
- Process receipts for monthly expenses into Paper save system
- Process reimbursement requests for various contracts
- Assist in regular file audits
- Maintain inventory of office equipment
- Assist as needed with outreach services for walk-in clients
- Assist in drafting documents and letters as needed
- Assist in regular mailing of program documents as needed
- Assist in food distribution
- Perform other similar duties and projects as assigned and requested
- Maintaining relationships with other departments, such as HR and IT, to ensure administrative tasks align with team needs and office infrastructure is maintained
- Oversees daily office operations, manage administrative tasks, and supports the smooth functioning of our office
- Monitoring office supplies and ordering new items as required
Skills/Experience/Abilities That Are a Must-Have:
- Must have a valid CA driver's license, proof of insurance, a reliable personal vehicle, and a willingness to travel off-site
- Ability to pass a pre-employment drug test
Reliable transportation to arrive at work on-time - Intermediate computer knowledge using Microsoft Outlook, Excel, and Word
Previous Customer Service Experience - Excellent communication and customer service skills
- Must be dependable, reliable, responsible, and have a strong work ethic
- Must be able to handle multiple phone calls, be able to multi-task and prioritize duties
- Work cohesively with others in a fast-paced environment
- Must be comfortable enforcing the agencies policies and procedures
- Is accountable for the responsibilities of the position accepts constructive criticism in a positive manner
- Ability to work independently, sometimes with limited supervision
- Ability to maintain HIPAA compliant confidentiality and discretion with regard to sensitive personal information of organization, guest, and clients
- Treat others with respect; show sensitivity to and respect for cultural differences; support diverse workforce and help ensure a workplace and community free from unlawful discrimination and harassment
Skills/Abilities We’d Like You to Have:
At least 1 year of professional experience in an administrative role, ideally in a rapidly evolving office
Physical Requirements:
Sit, talk, and listen
Stand, walk and use hands and arms to use a keyboard, handle papers, and reach for the phone
Occasionally lift and/or move up to 20 pounds
