Job Summary: We have an immediate opening for a Sr. Manager, Housing & Travel, to join our team. The Sr. Housing & Travel Manager plays a critical role in the success of events by overseeing all aspects of housing and travel logistics for an events company. This role ensures smooth coordination with hotels, travel providers, and internal/external stakeholders to deliver exceptional experiences for event attendees, exhibitors, and staff. The Sr. Housing & Travel Manager will manage housing blocks and travel bookings, negotiate contracts, and implement strategies to optimize attendee satisfaction while maintaining cost efficiency.
Key Responsibilities:
Hotel & Housing Management:
- Work with the managers of meetings and events to negotiate hotel contracts, including room blocks, pricing, concessions, and attrition clauses, to meet event requirements.
- Manage room blocks, ensuring availability and accurate reporting of pickup rates and rooming lists.
- Serve as the primary liaison between the company and hotels to address and resolve issues.
- Develop and execute a housing strategy to maximize convenience for attendees and minimize company liability.Travel Coordination:
- Coordinate travel arrangements for staff, speakers, VIP attendees, and vendors.
- Partner with travel agencies or platforms to streamline booking processes, where applicable.
- Monitor budgets and reconcile travel expenses to ensure adherence to financial guidelines.
Stakeholder Collaboration:
- Work closely with event planners, marketing, and sponsorship teams to align housing and travel plans with event goals.
- Provide regular updates and reports on housing and travel metrics.
- Act as the point of contact for attendees and exhibitors regarding housing and travel inquiries.
Vendor Management:
- Source and manage third-party housing providers and travel agencies, ensuring quality service and agreement compliance.
- Conduct site visits to evaluate hotels and travel accommodations.
Problem-Solving & Crisis Management:
- Address last-minute changes, cancellations, and disputes with professionalism and efficiency.
- Implement contingency plans to mitigate risks related to housing or travel disruptions.
Data Management & Reporting:
- Track and analyze housing and travel data to identify trends and improve processes.
- Prepare post-event reports highlighting housing pickup, travel utilization, and cost savings.
Qualifications:
Bachelor’s degree in Hospitality, Event Management, Business Administration, or a related field.
5+ years of experience in housing, travel management, or event planning, preferably in the event or hospitality industry.
Proven experience negotiating contracts with hotels and travel providers.
Strong knowledge of housing management platforms and travel booking tools.
Exceptional organizational and project management skills with the ability to handle multiple events simultaneously.
Excellent communication and interpersonal skills for collaborating with internal & external stakeholders.
Ability to thrive in a fast-paced, deadline-driven environment.
Proficiency in Microsoft Office Suite and other relevant tools.
Preferred Skills:
Certified Meeting Professional (CMP) or similar certification.
Experience with large-scale events and conferences.
Familiarity with event management software (e.g., Cvent, Eventbrite, Swoogo) and travel platforms.
