Job Summary
Under the supervision of the Office Manager, performs administrative, operational and fiscal duties to support the FIU Police Department.
- Provides accounting support to the Financial Unit in the Police Department. Maintains and monitors department’s budget and financial data pertaining to the FIU Police. Prepare and process deposits at MMC campus.
- Oversees payroll activities for accuracy and completeness on a biweekly basis. Ensuring assigned personnel completes timesheets correctly and the required leave and overtime documents are submitted timely. Serve as proxy to designated personnel for approval of timesheets.
- Initiates and coordinates the processing of contracts. Serves as primary contact and/or resource to outside parties, such as vendors, government agencies, law enforcement agencies and any other third party entity.
- Reconcile Special Event payments and prepare the necessary documentation to ensure payments are received in a timely manner. Prepare and record the submission of journal entries related to Special Events.
- Process reimbursements and maintain records related to detached assignments for FIUPD personnel.
- Reconciles the credit card charges for all credit hard holders in the FIU Police Department.
- Process the Uniform Traffic Citations for submission to the Clerk of Courts. Performs the duties of releasing police reports as needed.
- Prepare and process travel authorization reports and expense reports with all back-up documents.
- Provides backup for co-workers on leave and assists with backlog as needed. Also serve as the backup for the distribution of the crime log to University Officials.
Minimum Qualifications
High school diploma or GED and four (4) years office or related experience providing administrative support, or coordinating functions of an office or department; OR an equivalent combination of relevant education and/or experience.
Desired Qualifications
- Knowledge of Microsoft Office Suite.
- Knowledge of Bookkeeping.
