Part-time Executive Assistant

What we're looking for

AITHER is looking a part-time Executive Assistant (contractor) to help keep things running smoothly behind the scenes. In this role, you’ll work closely with our CEO to support day-to-day operations, with a focus on contracts, payments, and administrative coordination.

This is a great opportunity for a current design student or upcoming creative professional with an interest in operations, production, and the inner workings of a creative studio.

Responsibilities

  • Draft, prepare, and send contracts to clients and contractors using templates
  • Coordinate signatures and file finalized agreements
  • Track and remit contractor payments in a timely and organized manner
  • Provide general administrative support to the CEO (e.g. scheduling, research, light project tracking)
  • Support onboarding processes for new clients and collaborators as needed
  • Handle confidential and sensitive information with a high level of professionalism and discretion

Qualifications

  • 2+ years of experience in an administrative, operations, or executive support role
  • Familiarity with contract workflows and common tools (e.g. Docusign, Google Workspace, Notion)
  • Experience processing or coordinating contractor payments (e.g., Quickbooks Online, Justworks, ACH, Wire)
  • Strong attention to detail and ability to manage multiple tasks efficiently
  • Comfortable working independently in a remote-first environment
  • Excellent written and verbal communication skills
